BKO Specific guide for planners.

 

Permissions:

Permissions are arranged by the Events Secretary (events@bko.org.uk) and you should contact them to

  • Confirm permissions for the event are in place.
  • Are there any restrictions, areas that are out of bounds or areas on the map for which we do not have permission. You will need to plan around these. 
  • Access for planning activities. Do you have access to visit for planning activities. Some BKO areas allow public access but still check signs or websites for any temporary restrictions.
  • Contact details for landowners and others (E.G. Tenants, gamekeepers, foresters) who you may want to contact. In particular you will want to know of any felling or clearing activity that might happen before the event.   

Maps

  • The Club hold maps as OCAD files for planning purposes. Please email mapping@bko.org.uk for an up to date file before starting planning activities. 
  • If you think the map will need updates, please check with the club to see if someone can do this in good time for the event. The club have a licenced copy of  OCAD for updating maps.
  • The most commonly used planning software is purple pen which can handle most course types from level D and training events through to major championships. You can download it from here . Note that there is not a version available for Macintosh but you can use purple pen on an emulator such as parrallels or virtualbox. 
  • If you update the map for the event, please send a copy of the update OCAD file to maping@bko.org.uk after the event with the following information:
    • A brief description of updates and whether these were due to temporary or permanentt changes
    • Software and version used for update
    • If the map is georeferenced and how
    • If the map needs further updates and if possible scope (Is it a quick job for a club mapper or require profesional input for example.)

Printing

  • The club can print small numbers A4 size maps and control descriptions on waterproof paper in house (usually for training activities) . Please contact the events secretary to arrange this. For larger numbers (usually Saturday series and larger, the club use BML print.  Remember to contact whoever is printing and arrange timelines well in advance.
